Cancellation Policy - Effective as of 25/09/2023
ARTICLE 1 – CANCELLATION BY THE CLIENT
1.1 – Late Cancellation:
Any cancellation made within less than 48 hours of the appointment or if you fail to show up at the meeting point will not be refunded, regardless of the reason. If a member of a group cancels within less than 72 hours of the service, the service will be charged for that person. It's the responsibility of the client to seek reimbursement from that person.
1.2 – Weather Conditions:
In case of adverse weather conditions (rain, storms, cyclones, etc.), only the Vaqueros Rando guide scheduled for overseeing the service can cancel it. If the guide deems that weather conditions do not allow for the service to be carried out, the client then has the option to reschedule the service for another date. No refund will be issued for weather-related cancellations.
1.3 – Cancellation Fees:
Cancellation fees vary based on the cancellation timeframe:
- Cancellation more than 48 hours before the service: 70% of the invoiced price.
- Cancellation more than 7 days before the service: 50% of the invoiced price.
- Cancellation more than 14 days before the service: 30% of the invoiced price.
- Cancellation more than a month before the service: 20% of the invoiced price.
1.4 – Transfer of Contract:
In the event of transferring the Registration File to a third party, the client must inform Vaqueros Rando no later than 72 hours before departure using a means that provides an acknowledgment of receipt.
1.5 – Modifications before Departure:
Any modification to the service or dates must be notified at least 48 hours before the departure date using a means that provides an acknowledgment of receipt. Any modification request sent less than 48 hours before the departure date is considered a cancellation, subject to the cancellation conditions stated in Article 1.3. No refund will be made for unused included services. Waiving any of the included services in a service does not qualify for any refund.
1.6 – Modifications during the Service:
Any program modification requested by a participant requires the agreement of the guide and the entire group. Additional costs incurred are the participant's responsibility.
1.7 – Interruption of the Service:
If a participant interrupts the service due to health, skill level, or other reasons, no refund will be issued for unused services. Additional expenses incurred by the participant will not be reimbursed in case of medical repatriation facilitated by the participant's assistance.
1.8 – CANCELLATION DUE TO HEALTH REASONS
Any cancellation of the service due to the client's health reasons does not entitle them to any refund from Vaqueros Rando for unused services. However, the client has the option to reschedule the service for another date. Additional expenses incurred by the participant as a result will not be refunded. In the event of medical repatriation facilitated by the participant's assistance, unused services cannot be refunded.
1.9 – Cancellation Notification:
Any cancellation notification must be made using a means that provides an acknowledgment of receipt.
ARTICLE 2 – CANCELLATION BY THE SERVICE PROVIDER
2.1 – Insufficient Number of Participants:
If the minimum number of participants is not met (at least 1 participant), the service may be canceled no later than 6 hours before departure. The client can choose between a full refund or transferring the amounts paid to another service of their choice without the right to compensatory damages.
2.2 – Force Majeure:
In case of force majeure (wars, political unrest, strikes, riots, natural disasters, etc.), only the decision of the Vaqueros Rando guide related to participant safety and weather conditions can result in the cancellation of the service. In this case, the cancellation fees of Article 1.3 apply.
2.3 – Weather Conditions:
Due to adverse weather conditions (rain, storms, cyclones, etc.), in this scenario, the client is informed as soon as possible via email or phone. The client then has the option to reschedule the service for another date. No refund will be issued for weather-related cancellations. The client cannot claim any compensatory damages.
2.4 – Modifications before Departure:
Before departure, modifications may be made to the itinerary or program due to weather conditions. These modifications are specified in the registration files, on the website, and on the online booking platform. The participant cannot cancel without forfeiting the entire price of the service.
2.5 – Modifications during the Service:
The guide may make modifications to the program based on safety and weather conditions. In these cases, only the guide can make decisions without notice. Vaqueros Rando may cover the additional services required or refund the price difference between the planned and provided services, except in cases of force majeure.
2.6 – Interruption of the Service:
If the guide interrupts the service for justified reasons (safety, insufficient level), Vaqueros Rando does not refund the price difference between the planned and provided services, even in the case of force majeure.
3 – AMENDMENT CLAUSE OF CANCELLATION CONDITIONS
The client is informed that these cancellation conditions may be updated at any time, without notice, in which case the new conditions will apply.
This document cancels and replaces the previous cancellation conditions.
